"Regiis Events" refers to Regiis Events, based in Gravesend, Kent.
"Client" refers to the individual or organisation making the booking.
"Equipment" refers to all items supplied by Regiis Events, including marquee structures, draping, lining, lighting, furniture, linen and accessories.
"Hire Period" refers to the period from delivery and setup through to collection, as agreed in writing.
"Event Date" refers to the date of the event confirmed at the time of booking.
2.1 A booking is confirmed only upon receipt of a signed quote or written acceptance and payment of the required deposit.
2.2 A non-refundable deposit of 30% of the total hire value is required to secure your date. This deposit will be applied to the total balance.
2.3 The remaining balance is due no later than 14 days before the event date. Regiis Events reserves the right to withhold equipment or cancel the booking if the balance is not received by this date.
2.4 All prices are quoted in GBP. Regiis Events is not currently VAT registered; no VAT is applied to any booking.
3.1 All cancellations must be made in writing to info@regiisevents.co.uk.
3.2 The deposit paid to secure your booking is non-refundable regardless of when the cancellation is made. No further charges beyond the deposit will be applied.
3.3 In the event that Regiis Events is unable to fulfil a booking due to circumstances within our control, a full refund of all payments made will be provided. Regiis Events is not liable for any additional losses or costs incurred by the client.
3.4 Regiis Events reserves the right to cancel or postpone a booking where circumstances beyond our reasonable control prevent safe setup or operation (see Clause 10).
4.1 Delivery, setup and collection times will be agreed in advance. The client must ensure clear and safe vehicle access to the site at the agreed times.
4.2 If access is delayed or unavailable at the agreed time due to circumstances within the client's control, additional charges may apply.
4.3 All equipment remains the property of Regiis Events throughout the hire period. The client must not relocate, subhire or lend any equipment to a third party.
4.4 The client is responsible for the security of all equipment from delivery until collection.
5.1 The client is responsible for ensuring the site is suitable for the installation of a marquee, including:
5.2 If Regiis Events arrives on site and finds conditions to be unsuitable or unsafe, we reserve the right to refuse setup. In such circumstances, cancellation charges as set out in Clause 3 will apply.
5.3 The client is responsible for obtaining any necessary planning permission, council consent or landowner permission required for the installation of a marquee on the site.
6.1 The client is responsible for ensuring all guests and third parties on site adhere to these terms during the hire period.
6.2 The client must not make any structural modifications or alterations to the equipment, including attaching items to the marquee frame, poles or draping without prior written consent from Regiis Events.
6.3 The agreed maximum guest capacity must not be exceeded at any time.
6.4 The marquee and equipment must only be used for the purpose agreed at the time of booking.
6.5 No vehicles are permitted inside or immediately adjacent to the marquee structure.
7.1 The following are strictly prohibited inside or immediately adjacent to the marquee structure at all times:
7.2 Smoking is not permitted inside the marquee at any time.
7.3 All emergency exits and access routes must remain clear and unobstructed throughout the event.
7.4 The client is responsible for ensuring compliance with fire safety regulations applicable to their event, including providing adequate fire extinguishers if required.
7.5 Any breach of Clause 7 that results in damage to the marquee or equipment, or that requires Regiis Events to attend the site, will result in full costs being charged to the client.
8.1 The client is fully liable for any damage to, or loss of, Regiis Events equipment occurring during the hire period, whether caused by the client, their guests or any third party on site.
8.2 Damage includes but is not limited to:
8.3 The cost of repair or replacement will be charged to the client at full replacement value. Where an item cannot be repaired, the client will be charged the full replacement cost of that item.
8.4 Regiis Events will inspect all equipment following collection and notify the client of any damage charges within 30 days. Any amount owed will be invoiced separately and is payable within 14 days.
8.5 Regiis Events accepts no liability for loss or damage to the client's or guests' personal property during the hire period.
9.1 The client is strongly advised to take out specialist event insurance to cover cancellation, damage and public liability for their event. Regiis Events accepts no responsibility for losses that would otherwise be covered by event insurance.
10.1 Our marquees are designed and certified for UK weather conditions. However, Regiis Events reserves the right to take action, including partial or full removal of equipment, where weather conditions pose a risk to the safety of the structure, guests or personnel.
10.2 Neither party shall be liable for failure to fulfil their obligations where such failure is caused by circumstances beyond their reasonable control, including but not limited to extreme weather events, natural disasters, government restrictions, pandemics or acts of God.
10.3 Where a booking cannot proceed due to force majeure, Regiis Events will offer a postponement to an alternative date. Where no suitable alternative date can be agreed, a refund of payments made, minus any costs already incurred, will be provided.
11.1 Any changes to the scope of the booking, including marquee size, layout, equipment or event date, must be requested in writing and are subject to availability and price adjustment.
11.2 Regiis Events will endeavour to accommodate reasonable changes but cannot guarantee availability for amended dates or additional equipment at short notice.
12.1 These terms and conditions are governed by the laws of England and Wales.
12.2 Any disputes arising from a booking with Regiis Events shall be subject to the exclusive jurisdiction of the courts of England and Wales.
